Transformation process model in operations management: excerpt from page 10 of the BBA 203 notes

Excerpt from page 10

The transformation process model, also called the Input-Process-Output model, is the simplest way to understand any operations system. Every organisation takes inputs, transforms them through a process and gives outputs to customers. Feedback from the output and from customers is used to control and improve the process, while the environment affects the whole system.

1. Inputs

Inputs are the resources the system uses: people, raw materials, machines and equipment, capital, land and buildings, energy, technology, information and management skill.

2. Transformation (conversion) process

These are the activities that add value to inputs. Transformation can be physical (manufacturing), locational (transport), exchange (retailing), storage (warehousing), physiological (health care) or informational (communication and education).

3. Outputs

Outputs are the goods and services produced. They also include by-products, waste and pollution, and most importantly customer satisfaction.

4. Feedback and control

Information about outputs, such as quality, quantity, cost and time, is compared with standards. When there is a deviation, corrective action is taken by adjusting the inputs or the process.

5. Environment

External factors such as government policy, economic conditions, technology and competitors affect the inputs, the process and the outputs. The manager cannot control them, but must plan around them.

Examples of the transformation process

A car factory turns steel, parts, workers and machines into cars through fabrication, assembly and painting. A hospital turns patients, doctors, nurses and medicines into healthy patients through diagnosis, treatment and surgery. A college turns students, teachers and books into educated graduates through teaching, learning and evaluation. A bank turns deposits, staff and IT systems into financial services through lending, transactions and advice.

Restaurants turn raw food, chefs and a kitchen into meals and satisfied guests, and an airline turns aircraft, crew and fuel into passengers at their destination, a locational transformation. The same model works for both manufacturing and services.

The BBA 203 notes list 51 short-answer and 34 long-answer practice questions across 4 units, plus 8 numericals with worked answers.

One exam-style question per unit, with an answer pointer:

  1. Unit 1: What is routing? How is it different from scheduling? Routing fixes the path and sequence of operations; scheduling fixes when each operation starts and ends.
  2. Unit 2: Distinguish between hand-to-mouth buying and forward buying. Hand-to-mouth buys only immediate needs when prices fall; forward buying stocks up ahead of a price rise.
  3. Unit 3: What is cost of quality? State its components. Prevention and appraisal costs make the cost of good quality; internal and external failure costs make the cost of poor quality.
  4. Unit 4: Differentiate between logistics and supply chain management. Logistics moves and stores goods; SCM co-ordinates every firm from supplier to customer and includes logistics.

How to write BBA 203 answers: diagram-led theory answers and step-wise inventory numericals

Most of BBA 203 is theory, so the notes push one fixed shape for every long answer: definition, then a diagram or table, then points with headings, then an example, then a conclusion. The Unit 1 tip says a neat diagram, such as the transformation model, the production-types tree or the PPC steps, can add 2 to 3 marks. For Unit 4, the notes suggest the maintenance tree, the supply chain flow, the CAD/CAM flow and the ERP modules grid.

For "scope and functions" questions, the Unit 1 tip is to open with a three-line definition, list at least eight points with a one-line explanation each, and end with the objectives box, because coverage earns marks. For purchasing methods, write at least eight with a one-line meaning each and name GeM as a current Indian example of e-procurement. For ERP, name real packages such as SAP or Oracle.

Numericals come only from Units 2 and 3, and they follow the order the notes repeat: formula first, then substitution, then the answer with units on its own line. The formula alone carries marks even if a calculation slips.

Worked example: EOQ (practice numerical, page 48)

Annual demand 3,600 units, ordering cost ₹50 per order, carrying cost ₹4 per unit per year.

EOQ = √(2 × D × Co ÷ Ch)
    = √(2 × 3,600 × 50 ÷ 4)
    = √90,000 = 300 units
Orders per year = 3,600 ÷ 300 = 12

EOQ = √(2 × D × Co ÷ Ch)
    = √(2 × 3,600 × 50 ÷ 4)
    = √90,000 = 300 units
Orders per year = 3,600 ÷ 300 = 12

Check it the way page 38 shows: at EOQ, annual ordering cost (12 × ₹50 = ₹600) equals annual carrying cost (150 × ₹4 = ₹600). Note that Ch is the carrying cost per unit per year (unit price × carrying cost %), as page 38 defines it.
