(5) Perfect coordination, uniting management and the lowest cadre.

Formal channel. Formal communication travels through pre defined channels set by the organization, usually from top management downward, and follows organisational procedure. Advantages are permanent record usable as legal evidence, increased efficiency, discipline, better coordination, delegation of authority and freedom from mistakes. Drawbacks are slowness, wastage of time, suppression of ingenuity, inflexibility, absence of personal touch and escapism on ambiguous issues.
Informal channel. A non official and non structured route fostered through social relationships, two way and moving in multiple directions without hierarchy. It encourages ingenuity, raises efficiency, establishes cordiality, saves time, aids problem solving and builds a sense of belonging. Against that, it offers no legal evidence, may create confusion, keeps no secrecy, carries incomplete information, induces irresponsibility and can spread rumours.
Factors influencing choice, six points. Nature of the message. Purpose of the message. Degree of interaction needed, where face to face tools suit two way exchange. Need to show features, where audio visual aids work best. Size of the audience. Background of the audience, since managers, subordinates, urban and rural receivers each demand a different channel.
Conclusion. Both channels serve distinct purposes. Formal ones protect the organization legally while informal ones lubricate human relations. A wise manager picks the channel after evaluating the nature, purpose and audience of the message.
Question. What is a meeting? Discuss the requisites of a valid meeting. Also explain the rules governing meetings and the points to be kept in mind before issuing the notice of a meeting.
Meaning. A meeting is the gathering or assembly of people for discussing and deciding an activity of common interest, distinguished from a chance encounter of people without any purpose.
Seven requisites of a valid meeting. Properly convened by the authorised person. Proper notice sent to all entitled to attend or vote, failing which the proceedings are invalid. Lawful purpose at a lawful place. Required quorum, maintained throughout, noting that quorum is not necessary for a public meeting. Presided over by a chairman appointed under the rules. Lawful conduct of proceedings. Proper minutes, duly written, signed and confirmed.
Rules governing meetings, four points. Statutory rules under any Act such as the Companies Act must be followed without exception. Bye laws of the society apply where they do not conflict with statute. Custom and convention govern in the absence of prescribed rules. Failing all three, members present decide, and if they cannot, the chairman decides.
Before issuing the notice, six points. Form of notice, whether newspaper advertisement for a public meeting or written notice for a private one. Contents stating date, time, place and business. Length of time, where clear days exclude both the day of issue and the day of the meeting. Who issues it, normally the secretary under Board orders. Whom to issue it to, since intentional omission invalidates the meeting. Means of communication, usually registered post with proof of posting.
Conclusion. A valid meeting needs all seven requisites together. Supported by the right rules and a well drafted notice, the meeting becomes the formal forum through which an organisation takes its key decisions.

Meaning. A report is "a communication from someone who has some information to someone who wants to use that information." A good business report contains factual information organised and presented in clear, correct and coherent language. It is based on facts, events or opinions, presents a snapshot of events in writing and provides a record for future use.
Importance, five points. Conveyor of information within and outside the organization. Reviewing operations and planning future activity. Measuring departmental performance through operational data. Making desirable policy changes after analysing environmental factors. Measuring overall effectiveness of departments, employees and management.
Ten essentials of a good report. Accuracy, simplicity, completeness, brevity, appearance, readability, reliability, economy, timeliness and logical content with self explanatory headings.
Kinds of reports. A news report carries an eye catching headline with source, date and place. An academic report presents results of an experiment or survey through introduction, literature review, methods, results, discussion and conclusions. A market survey report analyses a market before launch, covering target group, methodology, results, limitations and appendices. An internal enquiry report satisfies the three Cs of clear, complete and concise.
Conclusion. The business report is the most important communication tool of management, used both for decision making and for measuring performance. Satisfying the ten essentials makes it a reliable record and a strategic guide.
Question. (a) Discuss briefly the different types of visual aids commonly used for business presentations. (b) What is meant by a conference call? Describe the important preparations made for a conference call.
(a) Visual aids. Visual aids are items displayed during a presentation to emphasise a particular point or event. They make a point memorable, summarise results, help the audience understand easily and arouse interest. (b) Conference call. A telephone call in which a person can talk to several people at the same time is called a conference call. It is of two types, one where only the caller speaks and the others listen, and another where all participants may also speak. A service provider maintains the conference bridge and supplies phone numbers and PIN codes.
Four preparations. Agenda, setting goals, expectations and timing, and circulating it beforehand. Technical set up, including dial in number, pass codes, country code, a backup plan and arrangements for hearing impaired participants. Scheduling, accounting for time zones and distributing documents in advance. Starting and facilitating, logging in 5 to 15 minutes early, establishing the protocol of announcing one's name and refocusing the discussion when it drifts.
